Create Invoice Templates
Before creating Invoices, you must first create and upload an Invoice Template to mattero; this will decide the layout, information included, and overall presentation for all Invoices you generate and export via mattero.
You can download the mattero Detailed Invoice, or the mattero Detailed Invoice with Trust templates to use as the basis for your Invoice Templates.
Alternatively, if your organisation already has an Invoice Template currently in use, this can also be uploaded to mattero, however you may need to update some of its information fields to adapt to mattero's output.
Creating Invoice Templates
To create an Invoice Template, first either open your preferred mattero Invoice Template or your organisation's Invoice Template in Word.
In mattero:
- On the sidebar, select System (
).
- Under Documents, select Document Templates.
- Select Available Fields, then select Invoice in the Preview Entity section; this will display a list of all Fields that can be included in an Invoice Template.
- In the Format section, a variety of options may be available for how a given Field can be displayed; select these from their dropdown menus as needed.
- Select the Copy icon to copy the code of any Field you wish to include in your Invoice Template, then paste it into your document as preferred.
Please note, to ensure the correct formatting of the code is preserved, always use the Copy icon, and do not highlight and copy the code from the screen directly.
Further, if you are using a mattero template (such as the mattero Detailed Invoice or the mattero Detailed Invoice with Trust), do not delete or alter the following code from either the Professional Fees or Expenses tables:
<<foreach [c in TimeRecordTransactions]>> or <<foreach [c in ExpenseTransactions]>>
and:
<</foreach -greedy>>
as this will cause the Invoice Template to load incorrectly when generating an Invoice.
- When you have added all the Fields you require to your Invoice Template, save the document as a Word file to your device.
Uploading Invoice Templates
To upload an Invoice Template:
- On the sidebar, select System (
).
- Under Documents, select Document Templates.
- Select Document Templates, then select Add Template.
- Set the Related To section to Invoice and set the Category to Invoice as well; edit the Created Date and add Tags as needed.
- When all selections are made, select Upload.
Editing Existing Invoice Templates
To edit an existing Invoice Template:
- On the sidebar, select System (
).
- Under Documents, select Document Templates.
- Select Modify Details to edit the attributes of a Template, or select Edit in Word to open the Template itself to edit.
Please note, if you select Edit in Word, the file will open as a Word document on your device. Make changes as needed and save, and the file will automatically update in mattero.
Testing Templates
Once an Invoice Template is uploaded, it is recommended you download an Invoice in its style to review for any errors or incorrect code.
Please note, downloading an Invoice will not change or affect any of its information stored in mattero.
To download a test Invoice:
- In the sidebar, select Invoices ($), or select the Invoices tab on a Matter or Contact's page.
- Select an Invoice's Actions menu and select Download Invoice.
- In the Download Invoice from Template window, select your new Invoice Template from the Select a Template from the dropdown list and enter a Document Title as needed
- Select Download as Word or Download as PDF.
- When all selections are made, select Download.
- Review the Invoice for any errors and update your Invoice Template as needed following the processes described in this article.
