Document Version Control
You can create multiple versions of the same Document in a Matter. Once created, a new version of a Document can be edited to include new information without losing the original Document.
This provides the option for manual incremental versioning (keeping an ongoing record of changes made to a Document) in mattero.
Creating a New Version
To create a new version of an existing Document:
- In a Matter, select the Documents tab, then select Documents mode.
- Select the Actions menu of a Document, then select Version and New Version.
Please note, only editable Documents (such as Word, Excel, and PowerPoint) can have a new version created. Non-editable Documents (such as PDFs and emails) cannot be versioned and will not display this option.
- In the window that opens, edit the Title, Created Date, and Tags as needed. Please note, the Title defaults to the name of the original Document, and the Created Date defaults to today.
The Title, Created Date, and Tags do not need to be changed to distinguish between versions, as a version number is automatically added to each version. (For more information, view Step 4 in this article.)
Further, if the original Document was in an existing Brief, the option to include the new version in the same Brief will display. Please note, including the new version in the Brief will not remove the existing version from the Brief.
However, one or more versions can be manually removed from a Brief in a separate process. (View the Working with Document Briefs article for more information.)
When all information is entered, select Save.
- When the new version is created, you will return to the Documents tab of the Matter. Only the most recent version of a Document will display; select its Version Number to view all versions.
Alternatively, select its Actions menu, then select Version and Show Version History to view all versions.
- When viewing all versions, the latest version will display "LATEST" next to its version number.
Select any version number to remove the filter and return to the unfiltered Documents tab in the Matter; alternatively, select the Actions menu of any Document, then select Version and Clear Version Filter.
Please note, if you have multiple versions of a Document, a new version can be created from any version in mattero, not only the latest version. However, a warning message will display announcing that later versions are available.
Also, the newly-created version will be considered the latest version. For example, if you have three versions of a Document in mattero, and create a new version from version 2, the newly-created version will be marked as "version 4" (not version 2a, etc.).
Further, in these cases, duplicating the Document may better serve your needs. Duplicating a Document creates a new copy of the file in mattero, which can then be versioned separately from its original Document.
(For more information on this process, view the Duplicate a Document article.)
Finally, prior versions of a Document can still be edited. However, an alert will appear notifying you that later versions exist. If you still want to edit the prior version, select Edit.
