Share Documents
A Document can be shared via a secure link to both existing Contacts in mattero and third parties outside your organisation. When a secure link is created and shared, access to the Document can also be set to expire on a set date, or revoked at any time.
Please note, Document Briefs can also be shared via a secure link. (View the Preview and Share Document Briefs article for more information.)
Also, to share multiple Documents at once, it is recommended you create a Document Brief with all the Documents you require, then share this Brief.
(View the Create and Edit Document Briefs article for more information.)
Sharing Documents
To share a Document:
- Select the Documents tab in a Matter or Contact, or select the Documents icon from the sidebar.
- Select the Actions menu of a Document, then select Share Document.
- Enter a name in the Contact field.
Please note, this field autocompletes; select an existing Contact from the list of suggestions that appears, or select Use Custom Input to share the Document with a person who is not a Contact in mattero. - If the Contact has an email address saved in mattero, it will automatically fill the Email field; this can still be edited or changed as needed.
If the Contact does not have an email address, or if you selected Use Custom Input in the previous step, enter an email address as needed. - Select a Date of Expiry; this is the last day the receiver will be able to access the Document.
- When all required fields are filled, select Grant Access.
- A list of people with access to the Document is shown in the Access Details section; this section automatically updates as new people are added.
Select the Copy Link icon to copy the Share link to your device; this can then be pasted into an email or message as needed.
Alternatively, select the Email icon to automatically generate an email (via your device's email service) addressed to the address entered in the Email field discussed in Step 4 of this article.
Revoking Access
A person's access to a Shared Document automatically expires at its Date of Expiry, however access can also be revoked at any time.
To revoke access:
- Select the Documents tab in a Matter or Contact, or select the Documents icon from the sidebar.
- Select the Actions menu of a Document that has been Shared, then select Share Documents.
- A list of people with access to the Document is shown in the Access Details section; select the Revoke icon.
- In the window that opens, select Confirm.
