The Matter Contacts page displays all Contacts associated with a Matter. By default, the Matter's Client and Referrer (if any) will display, however other Contacts may also display depending on the Matter's Practice Area.
(View the Configure Practice Areas article for more information.)
You can assign Contacts to various Roles in the Matter (such as Barrister, Other Side, etc.), view a Contact's details, and call or email a Contact via the Matter Contacts page.
You can also configure a standard subject line to automatically generate for any email sent via the Matter Contacts page.
Assigning and Accessing Matter Contacts
To view a Matter's Contacts:
- In a Matter, select the Contacts tab.
- Any Contacts assigned to the Matter will display here; to assign a Contact, select the Actions menu for a Role, then select Assign Contact.
Please note, if there is already a Contact assigned to the Role, selecting Assign Contact will replace them with a new Contact. Further, if selection has been restricted for a Matter's Custom Field, only certain Contacts will be available for a certain Role.
(View Step 9 of the Create and Edit Matter Custom Fields article for more information.)
- In the window that opens, enter the name of a Contact and select OK. (A list of options will autocomplete as you type; select from the list as needed.)
Please note, the person assigned to the Role must be saved as a Contact in mattero.
If the person you wish to assign is not currently a Contact in mattero, select Create New Contact, then follow the process outlined in the Create a Contact article (from Step 2 onwards).
- Select a Contact's Name to view their details, select their Phone number to call them from your device, or select their Email to send them an email from your device.
Please note, selecting a Contact's email address from the Matter Contacts page opens an email in your device's messaging app. This email can have a standard subject line automatically applied; view the Configuring Email Subject section below for more information.
Configuring Email Subject
You can configure a default subject line to apply to every email sent via a Matter's Contacts page.
For example, selecting a Contact's email address in a Matter will automatically generate an email with the Matter's Number and Title as its subject.
Please note, the default subject line will only apply when selecting a Contact's email from the Matter Contacts page. Selecting a Contact's email from any other page in mattero will still generate an email, but a default subject line will not be applied.
To configure a default email subject:
- On the sidebar, select System ().
- Under Matters, select Email Configuration.
- Drag and drop variables from the Available Variables field to the Matter Reference field to configure the default subject line. You can also drag and drop variables within the Matter Reference field to arrange their order.
Select the close icon on any variable in the Matter Reference field to remove it. If there are no variables in the Matter Reference field, the email will not have a default subject line.
Please note, in the Available Variables field, grey variables can only be used once, while green variables have no limit to their usage.
An example subject line will display above the Matter Reference field.
- When the subject line is configured, select Save.
Assigning Multiple/Plural Roles
Currently only one mattero Contact can be assigned to a Role. However, if there are two Contacts for a certain Role (such as when there are two Clients on a Matter), two workarounds are currently available:
Create a new Contact in mattero and select "Plural". You can then associate two or more Contacts as members of a single Plural Contact and assign this Plural Contact to a Role.
Please note, you will not be able to communicate individually with the members of this Plural Contact, they can only be contacted as a group.
View the Create a Contact article for more information.
Alternatively, additional Contacts can be added (such as "Client 2", "Client 3", etc.) and configured for each Practice Area by creating them in the Matter Custom Fields section.
Please note, when adding a Matter Custom Field, ensure the Field Type is set to "Contact".
