Convert Documents to PDF
You can convert a Word document to PDF in mattero, and add passwords to restrict the ability to access and edit the file.
Please note, including the following characters in a file's name can interfere with how a device recognises and stores a file in its directory:
/ ? < > \ : * | "
As mattero is required to comply with the filename requirements of Microsoft and Apple's operating systems, these characters are automatically removed from a file's name whenever mattero converts a file to a PDF document.
Files with these characters in their file name can be uploaded to mattero, however due to potential download issues it is recommended you do not include these characters in your file names.
Converting to PDF
To convert a Word document to PDF:
- Select the Documents tab of a Matter, then select the Actions menu of Word document and select Convert to PDF.
- In the window that opens, select Save to Matter to save the PDF file to the original Word file's Matter, select Download to download the PDF file to your device upon conversion, and select Security Options to configure the file's passwords.
If Security Options is selected, select Protect Using Password to require Users to enter a password before they can open the file, and/or select Prevent Modification to require Users to enter a password before they can edit the PDF, then create passwords in the Enter Password sections.
Please note, you can enter the same, or different, passwords for both options. If the Protect Using Password and Prevent Modification options have different passwords, the Prevent Modification password can be used to both view and edit the PDF.
Further, once a password is set in mattero, it cannot be revoked via mattero. However, if you have a PDF editor on your device, you can revoke the password requirement via this program.
Select Submit to create the PDF from the Word file.
Accessing a Secure PDF
If a PDF is generated with Security Options in place, a password is required to access and/or edit the file.
The password will need to be entered whether the file is accessed via mattero, or Shared with another User or a third party. (View the Share Documents article for more information.)
The password is set when creating a PDF from a Word document (view the process in the section above for more information); this password must then be given to anyone seeking to access the PDF.
To access a secure PDF:
- Select the Document in mattero or from the Share link, or download the document from mattero (view the Download Documents article for more information).
- In the window that opens (or in the PDF reader on your device), enter the password (this must be provided by the person who created the PDF), then select OK.
Please note, if the Prevent Modification Security Option is configured, you will need to enter this password as well before you can edit the PDF.
